Configuring Reporting in VisitorOS

 
iLobby’s VisitorOS module offers a number of automatically-generated reports to capture your data in a clear and easily digestible formatSystem-generated notifications can be configured to ensure you know the minute your report is available.  The four main types of reports are End of Day Summaries, End of Week Summaries, End of Month Summaries, and Signed-In Visitor Reports.

 

Configuring Reports 

Custom Visitor Types are configured in VisitorOS at the Site level. To access this feature, log in to VisitorOS, select the Settings icon, then select Sites. Select the site you are looking to configure, then navigate to the Notifications tab.

 

 

Configuring End of Day Summary Report 

The End of Day Summary captures an overview of visitor data for that day, displaying the total number of visitors who signed in, visitor details and the top five hosts of the day.

From the Notification Tab begin by selecting the toggle to enable the End of Day Summary. When enabled the below configuration options screen will be displayed.  
*Note: If the End of Day Summary report was previously enabled select to access these options. 
 

 

 Select the applicable user roles the report should be delivered to. By default, notifications can be sent to Account Admins, Site Admins, or anyone else in the address book by entering their email address. 

 

Select the time at which the summary should be sent each day. This time is configured based on the default time zone set for the site.  

 
Select the email attachment format from the dropdown menu. The list of visitors will be attached to the email report in either CSV or PDF file format.

To Save all Changes select , then ensure you also select on your updated notification settings before navigating away!

 

Configuring End of Week Summary Report

The End of Week Summary captures an overview of visitor data for that week, displaying the total number of visitors who signed in, visitor details and the top five hosts of the week. 

From the Notification Tab begin by selecting the toggle to enable the End of Week Summary. When enabled the below configuration options screen will be displayed.  
*Note: If the End of Week Summary report was previously enabled select to access these options. 
 


Select the applicable user roles the report should be delivered to. By default, notifications can be sent to Account Admins, Site Admins, or anyone else in the address book by entering their email address.

Select the desired Reporting Period. The system will send the report the following day after the week ends. 

  • Saturday - Friday. The report for this selection will be sent on the Saturday following the reporting period.

  • Monday - Sunday. The report for this selection will be sent on the Monday following the reporting period. 
     

Select the email attachment format from the dropdown menu. The list of visitors will be attached to the email report in either CSV or PDF file format.

Configuring End of Month Summary Report 

The End of Month Summary captures an overview of visitor data for that month, displaying the total number of visitors who signed in, visitor details and the top five hosts of the month. 

From the Notification Tab begin by selecting the toggle to enable the End of Month Summary. When enabled the below configuration options screen will be displayed.  
*Note: If the End of Month Summary report was previously enabled select to access these options.

The end of month summary also lets you download a "Signed Documents Archive", which is a compressed (zipped) folder containing all documents that all visitors have signed when signing in for the prior month. 

 

End of month summaries are sent on the first day of the following month.

Configuring Signed-in Visitors Report

The Signed-in Visitors Report captures a list of the currently signed-in visitors. This can be used to give relevant personnel a glance at all visitors who are on-site at a specific time each day.

From the Notification Tab begin by selecting the toggle to enable the Signed-In Visitors Report. When enabled the below configuration options screen will be displayed.  
*Note: If the Signed-In Visitors Report was previously enabled select to access these options. 

 

 Select the applicable user roles the report should be delivered to. By default, notifications can be sent to Account Admins, Site Admins, or anyone else in the address book by entering their email address.

 

3.  Set the Notification Time(s) for the report, Signed-In Visitors Reports can be generated at half-hour intervals as many times as needed throughout the day. 

To Save all Changes select , then ensure you also select on your updated notification settings before navigating away!
