The VisitorOS Dashboard is the first page shown in the iLobby Portal, which is used to monitor, manage, configure and customize your iLobby implementation.
Note: The screens and features you see in the Dashboard depend on the system's configuration and your access rights as a user.
To access the portal, navigate here: VisitorOS | iLobby (goilobby.com). An example of what you will see on your dashboard is shown below.
The Dashboard shows the latest visitor activity in your account, as well as statistics of all visitor activity for the last 30 days and the busiest hosts for the last 90 days.
Sign-in Visitors via Dashboard
This option lets you manually sign-in visitors without using a Kiosk. To begin, click from the top right-hand corner.
You will be first asked to select a site, then you'll be prompted to include the following details as shown below:
- Visitor Type
- Host
- Whether to notify the host of your new visitor
- The visitor's Full Name
- The visitor's Company (optional)
- Any internal notes associated with the visit.
Be sure to hit to complete the visitor sign-in.
Inviting Visitors via Dashboard
This option lets you manually invite a visitor to visit your site. To begin, click from the top right-hand corner. You will be prompted to add the following details:
- Start and end date / time for the visit.
- Site
- Visitor Type
- Host
- Notification Channel - this will send the invitation via SMS, Email or both
- The visitor's Full Name
- The visitor's Company (optional)
- The visitor's email address
- The visitor's phone number (optional, only required if the invitation is being delivered via SMS)
- Additional information such as:
- Instructions for the guest
- Internal notes
Be sure to hit to complete the invitation.
Expected Today Visitors Section
The Expected today panel lists pre-registered visitors for the day, as well as visitors who have been invited to any meetings.
From the Expected Today panel, you can view the start times of expected visits, as well as the visitor name, visitor type, host and site at a glance.
Actions you can take with expected visitors:
- Sign-In Visitor: You can manually sign-in a visitor using the icon on the right-hand side.
- Edit Notes: Use the button to add or edit visitor notes.
- Download legal documents: Use the button to download a copy of any legal documents the visitor has signed during pre-registration.
You can expand this view to see all visitors expected in the current or following week by switching to Expected This Week or Expected Next Week, as shown below.
Signed in Visitors Section
The Signed in Visitors section lists all visitors who are currently signed in.
Actions you can take with signed-in visitors:
- Sign-Out: Use the button to automatically sign out the visitor. You will get a pop-up screen to confirm this.
- Edit Notes: Use the button to add or edit visitor notes.
- Invite for a Meeting: Use the button, then select to launch the invite visitor flow. This meeting invitation is separate from the sign-in.
- Add to Watchlist: Use the button, then select to add the visitor to a watchlist. Be sure to click to confirm your addition.
- Re-Print Badge: Use the button, then select to print out another copy of the visitor's badge. You will be asked to transfer the request to a kiosk/printer pair, then click to confirm.
- Download Legal Documents: Use the button, then select to download a copy of any legal documents the visitor has signed during pre-registration.
