Configuring Notifications Using the New VisitorOS Portal

Introduction

Configuring iLobby system notifications and reminders ensures even when your day is full, you’re always up to date on the arrivals and departures of those within your facility. Get started configuring iLobby VisitorOS notifications and reminders. 
 
Here is an overview of the types of notifications you can configure:
  • Sign-In / Sign-Out Notifications
  • Sign-Out Reminders
  • Offline Device Notifications
  • Summaries at the end of each Day / Week / Month 
  • Signed-In Visitors Reports.
Read below to learn how to set up each type of notification.

 

Configuring Sign-In / Sign-Out Notifications

Sign-In and Sign-Out Notifications are customizable automated email notifications advising hosts when their visitors have signed in or signed out. To configure these notifications:  

  1. Sign-in to VisitorOS and click the icon, then click Sites.
  2. Select the site you are looking to configure.
  3. Click the Notifications tab to pull up the notifications settings, as shown below:


Select the sign-in or sign-out notifications, then click the button to open the settings menu.

Sign-In Notifications can be sent by Email, Voice or SMS to the visitor's designated host. Toggle each option on to receive these notifications, as shown below. You can also customize the message that the host receives here. 

Make sure to hit at the bottom of the menu to save your changes.

Configuring Offline Device Notifications

Offline Device Notificationsare email notifications advising selected parties if the iLobby kiosk device goes offline for any reason. To set up offline device notifications:

  1. Sign-in to VisitorOS and click the icon, then click Sites.
  2. Select the site you are looking to configure.
  3. Click the Notifications tab to pull up the notifications settings, as shown below:

 

Toggle Offline Device Notifications on, then click the button to open the settings menu.

  • You can choose the type of users that will receive notifications, such as Account Administrators, Site Administrators, System Assistants or Other Contacts,
    • When you select Other, you will be prompted to include the email address of the contact who will receive notifications.
  • You can select whether these notifications regarding offline devices should be delivered every hour that a device is online, or sent as a single notification once per day at 8:00AM. 



Make sure to hit at the bottom of the menu to save your changes.

 

Configuring Visitor Sign-out Reminders

Sign-out reminders are automatic notifications that can be sent to visitors, their hosts, or both parties, to remind them to sign-out via iLobby at the end of their visit. To set up Visitor Sign-Out Reminders:

  1. Sign-in to VisitorOS and click the icon, then click Sites.
  2. Select the site you are looking to configure.
  3. Click the Notifications tab to pull up the notifications settings, as shown below:

Toggle Sign-Out Reminder on, then click the button to open the settings menu.

  • Select whether Sign-Out Reminders should be sent to the Visitor, Host or Both by checking the appropriate boxes.
  • Use the Notify After box to set the time increment after the visitor signs in when the notification should be sent. You can select multiple timeframes by clicking them. The Host / Visitor will be notified at these time periods if the visitor is not signed out via email. 

Make sure to hit at the bottom of the menu to save your changes.

 



Configuring Preferences

The final section on the Notification tab is PreferencesUse Preferences to set the default app language and preferred time format for event invitations. To access Notification Preferences:

 

  1. Sign-in to VisitorOS and click the icon, then click Sites.
  2. Select the site you are looking to configure.
  3. Click the Notifications tab to pull up the notifications settings, as shown below:

 


Click the button under Preferences to open the settings menu.

  • Preferred Language sets the language that notifications will be delivered in
  • Preferred Time Format will change the appearance of the date and time fields. You will be able to see examples of the date and time displays when you toggle between formats, as shown below.

Make sure to hit at the bottom of the menu to save your changes.
