Configuring Reporting Using the Old VisitorOS Portal

 

ILobby’s VisitorOS module offers a number system generated reports to capture your data in a clear and easily digestible format.  System generated notifications can be configured to ensure you know the minute your report is available.  

 

Configuring Reports

 

  1. To begin start by selecting the Gear Icon 
  2. Select
  3. Select Site 
  4. Select Notifications Tab 

 

 

 

 

Configuring End of Day Summary Report

The End of Day Summary captures an overview of visitor data for that day, displaying the total number of visitors who signed in, visitor details and the top five hosts of the day. 

  1. From the Notification Tab begin by selecting the to enable the End of Day Summary. When enabled the below configuration options screen will be displayed.  
    *Note: If the End of Day Summary report was previously enabled select to access these options. 

  2. Select the applicable user role the report should be delivered to, all users assigned to the selected role will receive the report. Select the option Other to manually enter specific email addresses for those who should receive the report. 

 

3. Select the time at which the summary should be sent each day.

 
4. Select the email attachment format from the dropdown menu. The list of visitors will be attached to the email report in either CSV or PDF file format.

Configuring End of Week Summary Report

 

The End of Week Summary captures an overview of visitor data for that week, displaying the total number of visitors who signed in, visitor details and the top five hosts of the week. 

  1. From the Notification Tab begin by selecting the to enable the End of Week Summary. When enabled the below configuration options screen will be displayed.  
    *Note: If the End of Week Summary report was previously enabled select to access these options

 

2. Select the applicable user role the report should be delivered to, all users assigned to the selected role will receive the report. Select the option Other to manually enter specific email addresses for parties who should receive the report.  

3. Select the desired Reporting Period. The system will send the report the following day after the week ends.

  • Monday - Friday. The report for this selection will be sent on Saturday. This report will also include visitors, if there were any, from the Saturday and Sunday prior to the reporting week.
  • Monday - Sunday. The report for this selection will be sent on Monday. 

4. Select the email attachment format from the dropdown menu. The list of visitors will be attached to the email report in either CSV or PDF file format. 

Configuring End of Month Summary Report 

The End of Month Summary captures a list of the visitors who signed in during the course of a month, the visitor details and a list of the top 5 hosts for the month.

  1. From the Notification Tab begin by selecting the to enable the End of Month Summary. When enabled the below configuration options screen will be displayed.  
    *Note: If the End of Month report was previously enabled select to access these options 

 

2. Select the applicable user role the report should be delivered to, all users assigned to the selected role will receive the report. Select the option Other to manually enter specific email addresses for parties who should receive the report.

3. Select the email attachment format from the dropdown menu. The list of visitors will be attached to the email report in either CSV or PDF file format.

 

Configuring Signed-in Visitors Report

 

The Signed-in Visitors Report captures a list of the currently signed-in visitors.

Tip: This report captures data for the current day. To produce a report for a different date range, use the Visitors tab and filter by the desired date range.

  1. From the Notification Tab begin by selecting the to enable the Signed-In Visitors Report. When enabled the below configuration options screen will be displayed.  
    *Note: If the Signed-In Visitors report was previously enabled select to access these options

 

2.  Select the applicable user role the report should be delivered to, all users assigned to the selected role will receive the report. Select the option Other to manually enter specific email addresses for parties who should receive the report.  

3.  Set the Notification Time(s) for the report, these can be generated at half-hour intervals.
