Managing Documents in VisitorOS

Introduction

Use the documents feature to configure and manage the documents presented to visitors during the sign-in process. Documents include ones that can be viewed and signed, PDF slideshows, and videos.

All documents displayed on the device are logged as a part of the sign-in ledger. Based on the selected plan, custom retention policies can be implemented for each document type in order to expedite returning visitors. 

 

Accessing the Documents Feature

Documents are managed in VisitorOS. To access this feature, login to VisitorOS, then select Manage > Documents, or navigate directly to https://visitoros.goilobby.com/manage/documents 

 

Adding a Document in the VisitorOS Portal

To add a new document, click , then select the type of document. This will open the document details page. 

You will be prompted to configure the following details:

 

Document Details

  • Document Title - This is the name of the document in your Documents module.
  • Text - This is the description of the document that the clients will see on the kiosk.
  • Revision Date - use this feature if you want to track documents by date and enforce expiration times.
  • Custom Checkboxes - Use this feature if you need the client to provide yes/no responses or check off specific options from a checklist.

 

Configuration

  • Assign to Sites - Select specific sites that the document should be shown at, or select all sites.
  • Visitor Types - Select the visitor types that must interact with the document as part of their sign-in.
  • Document Flow Type - Select the visitor flow (i.e. sign-in, sign-out, etc) that the document will be added to. 
  • Display Online for Pre-Registration - When toggled on, the document will be a part of any pre-registration visitor flows.
  • Document Languages - Select the languages that will use the document on the kiosk. If none are selected, the document will appear on all kiosk languages.
  • Signature Required - If toggled on, visitors will be required to sign the document on the kiosk.
  • Allow Opt-Out - If toggled on, visitors will be permitted to skip past the document without interacting with it.

 

Expiration

  • Discard document after visit - When toggled on, all visitors will be required to view/sign the document during each visit, and the visitor's last response will be discarded once the visit is ccomplete.
  • Expiry options - Select an expiry period if you need the document to be valid only for a certain number of days or for a certain calendar period.
