Introduction
ContractorOS allows sites to maintain an up-to-date repository of vendor and contractor documents to ensure compliance. Notifications are proactively sent to Sites, as well as to Vendors and Contractors, to remind them of critical information, or when action is required.
Site Administrator Notifications
Site administrators will be notified when:
- Any vendor or contractor submits a Task for review.
- The compliance status of any vendor changes (from Compliant to Not Compliant, or vice-versa).
- When any previously-approved document expires for any vendor or contractor.
Vendor Notifications
Vendor representatives will be notified when:
- New Tasks have been assigned to the Vendor, or to all Contractors under them.
- A Task submission for one of their vendor tasks has been approved or rejected.
- Their compliance status changes (from Compliant to Not Compliant, or vice-versa).
- The compliance status of any of their contractors changes.
Vendors are also notified when an approved document assigned to the vendor or to any of their contractors is about to expire, based on the following schedule:
- 30 days before expiry
- 7 days before expiry
- 1 day before expiry
Contractor Notifications
Individual contractors with access to a ContractorOS account will be notified when:
- New Tasks have been assigned to them.
- A Task submission has been approved or rejected
- Their compliance status changes (from Compliant to Not Compliant, or vice-versa)
Individual contractors will also be notified when one of their approved documents is about to expire, based on the following schedule:
- 30 days before expiry
- 7 days before expiry
- 1 day before expiry
Will My Vendors / Contractors Be Reminded to Complete Pending Tasks?
Vendors and Contractors receive an email notification once a task is assigned to them, and when a task is approved or rejected.
Vendors and Contractors do not currently receive any automatic reminders to complete their pending tasks.
Can I Send Proactive Reminders or Notifications?
At this time, it is not possible for users to configure automatic or manual reminder notifications.
What Methods are Notifications Sent By?
Currently, all ContractorOS notiifcations are delivered by email only.
Can I Customize the Text of the Email Notifications?
It is not currently possible to customize the text of email notifications sent by the ContractorOS system to Sites, Vendors or Contractors.
