Getting Started: Visitor Approval

Description

Visitor Approval is a paid add-on that is used to allow administrators and hosts to approve or deny of new visitors before they are able to finish their sign in.

This ensures that your facility is as secure as possible, as you will be able to screen new visitors to confirm their credentials before they enter. 

NOTE: This feature is included when purchasing an Enterprise FacilityOS license.

 

Benefits of Using the Visitor Approval Feature

The Visitor Approval feature allows you to manually screen each visitor that comes into your facility, whether they are a new sign in, a returning visitor, or even someone that is pre-registered and/or has arrived for an event. 

Additionally, you are able to restrict Visitor Approval/Denial for specific visitor types, and you can make sure that each visitor does not receive a badge until their sign-in is approved.

 

Usage

To use the Visitor Approval/Denial feature, please take the following steps:

  1. In the VisitorOS portal, navigate to Settings and then select Sites

  2. Select the site you'd like to configure. Then, navigate to Features.

  3. In Features, scroll down to Visitor Approval.

  4. Click the Configure button under Visitor Approval and configure visitor approval as desired. In this configuration menu, you can configure a number of different settings, such as:
    • Host Can Approve Visitors: Allows the host of the visitor in question to be able to approve or deny the visitor. 
    • Security Officer Can Approve Visitors: Allows you to enter an email address (or multiple email addresses, separated by a comma) of specific people who should be notified about new visitors and be given the option to approve or deny them.
    • Delay Badge Printing Until After Approval: Ensures that a visitor will not receive a badge until they are approved.
    • Approval Required For: Allows you to select what type of visitor will require approval before signing in.
    • Limit to Specific Visitor Types: Allows you to restrict Visitor Approval/Denial to specific visitor types within your system's workflow.

  5. Once the Visitor Approval/Denial feature has been configured to your liking, you can click Save and start approving or denying new visitors.
